We are looking for a highly organized and efficient Secretary / Personal Assistant to join our team. The ideal candidate will have excellent communication and time management skills, as well as the ability to multitask and prioritize tasks effectively. As a Secretary / Personal Assistant, you will be responsible for providing administrative support to our team and ensuring the smooth operation of our office.
Responsibilities:
- Answer and direct phone calls, take messages, and respond to emails
- Manage and maintain executives' schedules, appointments, and travel arrangements
- Prepare and edit correspondence, reports, and presentations
- Organize and maintain filing systems, both physical and digital
- Coordinate and schedule meetings, conferences, and events
- Handle confidential and sensitive information with discretion
- Conduct research and compile data for various projects
- Assist with the preparation of financial and expense reports
- Act as a liaison between executives, employees, clients, and external partners
- Perform general office tasks such as ordering supplies, organizing office space, and handling incoming and outgoing mail
Requirements:
- High school diploma or equivalent; additional education or certification in office administration is a plus
- Proven experience as a secretary or personal assistant
- Experience working in the financial, corporate or legal sector is a must.
- Excellent written and verbal communication skills
- Proficient in Microsoft Office and other relevant software
