Our client is a leading financial institution in Malta. As they are growing, they would like to engage a Personal Assistant to the Head of Department to assist with the day to day operations, projects, budgets and other tasks
The Role
You will assist the Head with all communications within the department and with other departments. You will also be the point of contact as well
You will ensure that agreed initiatives with other departments are being handled by the respective Heads of Departments
Recording and distributing minutes of meetings, filing reports and other documents, prioritise emails and phone calls, arrange meetings and business events, including conducting meetings when necessary
Organize and coordinate events for the department, including brainstorming and implementing morale-boosting initiatives.
Ensure that regulatory tasks and commitments are seen to by task owners
Collating budgets for the department, challenging if necessary and then communincate approved budgets
Learn and use basic systems for procurement, payment, and other administrative functions
Network and build relationships within the organization to facilitate information flow and collaboration
You will collate the necessary data from different sources and present to the Senior Managers
Ensure that agreed project timeframes are kept by all concerned
Will have an element of administration work and customer service
Requirements
Have previous experience of a Personal Assistant preferably in a corporate enviornment

Have strong Project Management skills
Be highly IT literate
Have excellent communication skills
Can prepare excellent presentations
Education and Experience
Preferably have a tertiary degree
