We are looking for an organized and detail-oriented individual to join a well established company as a Front Office Secretary. The successful candidate will be responsible for providing administrative support to our front office.

Responsibilities:

• Greet visitors and answer phone calls in a professional and courteous manner

• Maintain office supplies and ensure the front office is neat and presentable

• Schedule and coordinate meetings and appointments

• Reserve meeting rooms and set up necessary equipment

• Prepare meeting agendas and distribute materials as required

• Act as a PA to a suite member of the Panta Group, providing administrative support

• Manage their calendar, schedule meetings, and handle travel arrangements

• Handle incoming and outgoing mail

• Assist in the collection and processing of employee time sheets

• Track labour hours for various projects and assignments

Qualifications:

• Fluent in English, Maltese is preferred

• Previous experience working in an office setting

• Proficient with Microsoft Office Suite (Word, Excel, Outlook, etc.)

• Excellent communication and organizational skills

• Ability to multitask and prioritize tasks

• Ability to work independently and as part of a team

• Detail-oriented and reliable 

Working Hours

Monday to Friday from 08.30hrs till 16.30hrs
