POSITION OVERVIEW

We are seeking a highly organised and proactive Executive Assistant to provide comprehensive support to the rest of the team and CEO. This role requires exceptional communication skills, the ability to manage multiple tasks efficiently, and a strong sense of discretion and professionalism.

Key Responsibilities

  • Manage and coordinate the CEO’s schedules, including meetings, appointments, travel arrangements, and company events.
  • Serve as the primary point of contact for internal/external stakeholders.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Handle confidential documents and information with discretion.
  • Facilitate internal communication by distributing information and coordinating office activities.
  • Assist in the preparation and control of records, statistics, and reports regarding operations, personnel changes, etc.
  • Assist in the upcoming outreach efforts to coordinate meetings and follow-ups with schools, corporations and authorities.
  • Provide support in project management and participate in research efforts.
  • Organise and maintain files and databases in a confidential manner.
  • Manage office supplies and coordinate maintenance of office equipment.
  • Perform other duties and administrative tasks as assigned to support the efficient operation of the office.

Requirements

  • Experience as an executive assistant or in a similar administrative role will be an asset.
  • Strong organisational skills with the ability to multitask and prioritise work.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and comfortable learning new software and systems.
  • Attention to detail and problem-solving skills.
  • Ability to handle confidential information with discretion.
  • A proactive approach to task management.
  • Ability to work independently and as part of a team.
  • A team player with a flexible attitude to adjust to the different needs that crop up while working with an NGO.
