One of our clients operating within the property market are searching for an Office Assistant to join their tight-knit team. The chosen candidate will provide the necessary administrative support, including the below:

  • Handle incoming and outgoing documents, maintaining proper storage, retrieval, and distribution.
  • Assist other office staff by performing general clerical tasks such as filing, photocopying, and sending emails.
  • Act as a first point of contact for external queries, routing calls to the appropriate departments.
  • Assist in planning and scheduling meetings, appointments, and travel arrangements for executives or managers.
  • Monitor inventory levels of office supplies and place orders when necessary.
  • Accurately input data into company systems, including customer details, sales figures, or other key metrics.
  • Assist with invoicing, processing expenses, and bookkeeping.
  • Serve as a central point for internal communications, distributing memos, updating bulletin boards, and relaying messages.
  • Interact with clients or customers through phone, email, or face-to-face to provide information and support.
  • Assist in creating reports by gathering data and preparing basic presentations.
  • Mail Handling: Receive, sort, and distribute incoming mail and manage outgoing mail, including packages
  • Offer first-level technical support for office equipment like printers, projectors, and video conferencing systems.
  • Plan and organize company events or meetings, from logistics to catering.
Requirements
  • Candidates must be residing and working in Malta already
  • Excellent written and verbal skills in Maltese AND English is a must
  • Strong organizational and coordination skills
  • Ability to manage multiple tasks, work independently and prioritize effectively
  • Proficiency in Microsoft Office suite (Outlook, Word, Excel, etc)
  • Valid driving licence
Education and Experience
  • At least 1 year prior administrative experience
  • In addition to the above, candidates with prior experience in real estate will be highly preferred
  • Experience in invoicing, processing expenses or general book keeping is a huge plus
