Position Overview: As a People and Culture Executive, you will play a key role in fostering a positive and inclusive workplace culture. This position involves overseeing various aspects such as administration, human resources, talent management, and employee engagement to ensure the organization attracts, retains and develops top talent. You will collaborate with the Business Development and Operations Manager to implement HR strategies aligned with business goals and promote a positive work environment that values diversity, equity and inclusion. Maintaining the efficient functioning of our People and Culture department and administrative processes. The successful candidate will demonstrate strong organizational skills, a keen eye for accuracy, and the ability to manage multiple tasks in a fast-paced environment. 

Duties and Responsibilities: 

Administration: 

• Assist in managing office operations by performing various administrative tasks, including data entry, filing, photocopying, scanning, and maintaining electronic and physical records. 

• Maintain accurate and up-to-date records of invoices, receipts, and other financial documents. 

• Support the procurement process by coordinating with suppliers, receiving and recording orders, and maintaining inventory records. 

• Provide general administrative support to the management team, including scheduling appointments, arranging meetings, and preparing materials. 

• Respond to inquiries from internal and external stakeholders via email, phone, and in-person professionally and courteously. 

• Assist in preparing and distributing internal communications and announcements. 

• Collaborate with other departments to ensure effective communication and cooperation. 

• Maintain the privacy of PII and adhere to company policies and procedures. 

• Contribute to process improvement initiatives aimed at enhancing administrative efficiency. 

Talent Acquisition: 

• Lead the recruitment process, including sourcing, posting, interviewing, onboarding of new employees.

• Collaborate with Business Development Manager and Operations Managers to identify staffing needs and develop effective hiring strategies.

• Prepare and submit work permit applications for third-country nationals.

Employee Relations and Lifecycle: 

• Coordinate orientation sessions, providing essential information about company culture, policies, and procedures.

• Maintain HR records, including employee files, compensation, and benefits information.

• Manage employee benefits programs and ensure compliance with regulations.

• Develop employee recognition and rewards programs.

• Address employee concerns and provide guidance on HR-related issues.

Training and Development:

• Identify training needs and coordinate professional development programs with stakeholders.

• Coordinate performance evaluations and provide feedback to employees.

• Follow up performance appraisals and ensure the staff has the proper training. 

Company Culture:

• Ensure diversity and inclusion initiatives to maintain a healthy and diverse workplace. 

• Implement programs to foster cultural awareness and sensitivity. 

• Monitor and address issues related to diversity and inclusion.

HR Compliance: 

• Assist with managing employee records, including attendance and leave tracking. 

• Assist the Financial Controller with payroll procedures.

• Ensure compliance with all employment laws and regulations.

• Stay updated on changes in work legislations and industry standards.

Requirements: 

 Bachelor’s degree in Human Resources, Business Administration or related field. additional qualifications in administration or office management are a plus. 

 Proven experience of 1 year in Human Resources roles, preferably in a fast-paced and customer-oriented environment. 

 Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. 

 Strong attention to detail and excellent organizational skills. 

 Effective verbal and written communication skills. 

 Ability to prioritize tasks and manage time effectively to meet deadlines. 

 Strong interpersonal skills and a positive attitude when interacting with colleagues and external partners. 

 Demonstrated ability to maintain privacy and handle PII professionally. 

 Adaptability and willingness to learn new processes and procedures as required.
