We are looking for a smart and professional person to manage our client's front office and to perform a variety of administrative and clerical tasks on a part-time basis. In this role, the selected person will be the first point of contact at the school and its accommodation facility. She/he will be in charge of giving members of staff, parents and visitors directions to the various parts of the premises, contacting members of Staff, answering phone calls, taking messages, sorting and distributing mail when necessary.
ABOUT OUR CLIENT
Our client is a secondary and post-secondary school, catering for student-athletes aged 11 to 18 years, and is located in Mosta.
DUTIES AND RESPONSIBILITIES
Greeting clients and visitors with a positive attitude.
Directing clients and visitors to the respective offices as necessary.
Assisting the School Leadership Team and the School Secretary in administrative tasks as required.
Preparing and setting up of meeting rooms.
Answering phones in a professional manner, and redirecting calls as necessary.
Sorting and distributing mail when necessary.
Providing excellent customer service to the whole school community.
EXPERIENCE, KNOWLEDGE AND SKILLS
Prior experience as a Receptionist or in a similar position would be considered an asset.
Excellent verbal and written communication skills.
Good time management skills.
Multi-tasking and can work under pressure and on her/his own initiative.
Be competent in Microsoft applications.
Have a flexible approach.
Able to contribute positively as part of a team, by helping out with various tasks as may be required.
EDUCATION
In possession of at least MQF Level 3 level of education.
WORKING TIME
Part-time basis, either morning or afternoon shift.
