Receptionist / Office Clerk

The primary responsibility of the front desk receptionist is to warmly welcome and assist visitors, ensuring a positive experience while navigating the office and different floor levels.

It is the duty of the Receptionist to provide clients with refreshments during their wait for appointments, ensuring their comfort and satisfaction.

Key Responsibilities:

 Greet clients in a friendly and professional manner.

 Provide refreshments to clients.

 Keeping the reception area clean and tidy to create a welcoming environment.

 Answering and forwarding calls to the appropriate individuals or departments.

 Responding emails in a timely and professional manner.

 Performing data entry tasks accurately and efficiently.

 Handling deliveries and ensuring they are properly received and distributed.

 Recording client information upon their arrival and maintaining accurate records.

 Assisting other team members with various tasks as needed.

 Organising supplies in the office.

 Setting up and cleaning the boardroom for meetings, as well as booking it for coworkers.

 Preparing the office at the end of the shift, ensuring it is tidy and ready for the next day.

 Building and fostering a work-friendly environments for clients.

 Sorting and distributing incoming mail appropriately.

 Addressing any issues or challenges that may arise in the reception area or related tasks.

 Maintain effective communication with colleagues and other departments to facilitate a smooth flow of information and tasks.

 Perform any other duties that may be required.

Skills requirements:

 Possess a positive attitude and customer-oriented driven

 Prior experience in a similar position is considered as an asset.

 Self-motivated individual committed to service excellence.

 Possess proficient verbal and written communication skills in English.

 Ability to multi-tasking and prioritize tasks effectively.

 Must have excellent organisational skills and good attention to detail.

 Must be computer literate.

 Have the ability to work independently.

 Able to solve problems with a positive can-do attitude.

 Attention to details.

 Flexibility and willingness to perform additional duties.

 Have a good command of speaking and writing skills in English and Maltese.
