ISD Co Ltd in Malta is currently looking to recruit a Receptionist to join their team on a full-time basis.

Job Summary:

The Receptionist will be responsible for managing the front desk, providing administrative support across the organization, and ensuring smooth daily operations. This role requires excellent communication and multitasking skills to manage a variety of tasks efficiently while maintaining a professional and welcoming environment for all visitors.

Key Responsibilities

  • Front Desk Management:
    • Greet and welcome visitors, clients, and employees in a warm and professional manner
    • Answer, screen, and forward incoming phone calls
    • Ensure the reception area is tidy, organized, and presentable with all necessary materials (e.g., brochures, forms, stationery).
  • Visitor Assistance:
    • Provide visitors with information, assistance, and directions as needed.
  • Administrative Support:
    • Receive, sort, and distribute daily mail, packages, and deliveries
    • Schedule and confirm appointments and meetings for staff
    • Assist with filing, photocopying, faxing, and other clerical tasks
    • Manage office supplies inventory and place orders when necessary.
  • Communication:
    • Handle incoming and outgoing correspondence via email, phone, and in person
    • Relay important messages to the appropriate department or individual in a timely manner.
  • Data Entry & Record Keeping:
    • Maintain and update records of staff, clients, and appointments
    • Assist in managing and updating databases or filing systems.
  • Coordination & Assistance:
    • Help coordinate meetings, conference room bookings, and office events
    • Assist other departments with basic administrative tasks when required.

Skills and Qualifications:

  • Proven experience as a receptionist, front desk representative, or similar role
  • Proficient in MS Office Suite (Word, Excel, Outlook)
  • Strong verbal and written communication skills
  • Excellent organizational and multitasking abilities
  • Professional appearance and demeanor
  • Ability to work under pressure and handle multiple tasks simultaneously
  • Fluent in BOTH Maltese and English.

Work Hours:

Full-time position with typical office hours (Monday to Friday, 8:30 AM to 4:45 PM)
