Our client, an international company operating within the Aviation industry, is recruiting for a Personal Assistant to provide comprehensive support to the General Manager within the organisation. Your duties will include;

  • Efficiently managing the General Manager's schedule, communications, and various administrative tasks. 
  • Scheduling appointments, meetings, and travel arrangements, optimizing daily schedules, providing reminders and preparatory briefs, and serving as the primary gatekeeper for communications. 
  • Drafting and editing correspondence, reports, and presentations, organizing meetings, and ensuring productive outcomes. Proactively following-up on action items, managing travel plans, and assisting in project management tasks.
  • Overseeing budget reviews, maintaining Key Performance Indicators (KPIs), coordinating updates to the KPI dashboard, and managing corporate events. 
  • Serving as the initial point of contact for the General Manager, handling inquiries with tact, and managing personal tasks with discretion. 
  • Supporting office operations, handling confidential information, and providing ad-hoc support for special projects. 
  • Overall, the focus is on optimizing the General Manager's time, ensuring effective communication, and supporting strategic objectives.
Skill-sets and Requirements
  • At least 2 years’ experience in a similar role.
  • Be an effective planner with proven time management skills is necessary
  • Have attention to detail, personal commitment, efficiency and great team liaison skills
  • Excellent written and oral communication skills in English and Maltese
  • Possess excellent word processing and IT skills, including a range of software packages and comprehensive capabilities in Microsoft Office (Word, Excel, Power Point and Outlook)
  • Ability to work under pressure and to tight deadlines, demonstrative flexibility and adaptability.
  • Is able to be discreet and maintain high levels of confidentiality.
Education & Experience
  • A Diploma level of education (MQF Level 5) or equivalent preferably in administration, management or a related subject.
