Title: Office Administrator

Location: Tigne, Sliema, Malta

Status: Full-time / Part-time

Our mission is to inspire and prepare young people (aged 7 to 30) to succeed in a global economy through programmes in entrepreneurship, financial literacy and work readiness. If you are looking for a new challenge and for an impactful role, we are currently recruiting a Social Media Executive to join our team.

JA Malta Foundation is seeking a highly organized and proactive Office Administrator to join our dynamic team. In this role, you will be responsible for managing daily office operations, coordinating administrative tasks, and providing essential support to the team. You will play a key role in maintaining an efficient and professional environment.

 

Key Responsibilities:

  • Oversee the office administration, organisation and upkeep
  • Coordinate relationships with suppliers, quote requests and procurement
  • Provide administrative support related to the ongoing projects
  • Handle incoming communications and manage scheduling
  • Assist in the coordination of events, meetings, and projects
  • Maintain accurate records related to finance and deadlines

Interest and experience in managing funding applications and the website will be considered an asset.

 

Requirements:

  • Proven experience in office management or administration
  • Strong organisational and multitasking abilities
  • Excellent communication in both English and Maltese, 
  • Understanding of the non-profit landscape and JA Malta’s mission,
  • Excellent communication skills and attentive to detail
  • Ability to adapt to different stakeholders 
  • Proficiency in Microsoft Office Suite
  • Ability to work independently and as part of a team
  • Valid Driving License

Willingness to also to lead small projects or to facilitate session in classrooms will be considered an asset.

 

The role will require the candidate to be flexible to work during events and sessions which sometimes happen in the evening or on Saturdays.
