Our client, a Group of companies, are looking to recruit a Personal Assistant to support the CEO. The chosen candidate will be responsible for the below:  

  • Efficiently managing the CEO's schedule, communications, and various administrative tasks; 
  • Scheduling appointments, meetings, and travel arrangements, optimizing daily schedules, providing reminders and preparatory briefs, and serving as the primary gatekeeper for communications; 
  • Coordinate and prepare for meetings attended by the CEO, including scheduling, agenda creation, document preparation, and logistics coordination. Attend meetings as required, take minutes, and follow up on action items; 
  • Drafting and editing correspondence, reports, and presentations, organizing meetings, ensuring productive outcomes and proactively following up on action items, managing travel plans, and assisting in project management tasks; 
  • Handle confidential information with discretion and maintain the highest level of confidentiality at all times; 
  • Serving as the initial point of contact for the CEO, handling inquiries with tact, and managing personal tasks with discretion; 
  • Supporting office operations, handling confidential information, and providing ad-hoc support for special projects; 
  • Build and maintain strong relationships with internal and external stakeholders, including executives, board members, clients, and partners. 
Requirements
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills in both Maltese and English with a professional demeanor and the ability to interact effectively with individuals at all levels.
  • Strong attention to detail and accuracy, with the ability to maintain composure under pressure.
  • Discretion and integrity when handling confidential information and sensitive matters.
  • Flexibility and adaptability to changing priorities and responsibilities.
  • Proven experience of not less than 5 years in a similar role supporting senior executives is a must.
Education and Experience
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Certification in Administration, Management or a related subject is a must.
