Our client, a Group of companies, are looking to recruit a Personal Assistant to support the CEO. The chosen candidate will be responsible for the below:
Efficiently managing the CEO's schedule, communications, and various administrative tasks;
Scheduling appointments, meetings, and travel arrangements, optimizing daily schedules, providing reminders and preparatory briefs, and serving as the primary gatekeeper for communications;
Coordinate and prepare for meetings attended by the CEO, including scheduling, agenda creation, document preparation, and logistics coordination. Attend meetings as required, take minutes, and follow up on action items;
Drafting and editing correspondence, reports, and presentations, organizing meetings, ensuring productive outcomes and proactively following up on action items, managing travel plans, and assisting in project management tasks;
Handle confidential information with discretion and maintain the highest level of confidentiality at all times;
Serving as the initial point of contact for the CEO, handling inquiries with tact, and managing personal tasks with discretion;
Supporting office operations, handling confidential information, and providing ad-hoc support for special projects;
Build and maintain strong relationships with internal and external stakeholders, including executives, board members, clients, and partners.
Requirements
Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
Excellent written and verbal communication skills in both Maltese and English with a professional demeanor and the ability to interact effectively with individuals at all levels.
Strong attention to detail and accuracy, with the ability to maintain composure under pressure.
Discretion and integrity when handling confidential information and sensitive matters.
Flexibility and adaptability to changing priorities and responsibilities.
Proven experience of not less than 5 years in a similar role supporting senior executives is a must.
Education and Experience
Proficiency in Microsoft Office Suite and other relevant software applications.
Certification in Administration, Management or a related subject is a must.
