Our client seeks a Personal Assistant to support the Director. Key responsibilities include:

  • Greeting and welcoming visitors and stakeholders at the Company and its group entities
  • Coordinating with subcontractors at Company-owned properties to ensure work is carried out effectively
  • Managing executive calendars to ensure accurate availability
  • Assisting with special projects as needed
  • Arranging travel and accommodations for executives within the Company and its group
  • Facilitating communication across all levels of staff within the Company and its group
  • Drafting memos and presentations related to the Company’s operations for executives, staff, and clients as needed
  • Assisting with event planning and organization, including liaising with third-party suppliers
  • Maintaining petty cash invoices and ledgers
  • Monitoring and ordering office supplies while ensuring a tidy and organized office environment
  • Managing the filing and archiving of company documents, both digitally and physically
  • Performing general errands, such as collecting mail and purchasing office supplies
  • Supporting the board of directors with various activities and events as required
Requirements
  • Excellent organizational, attention to detail and time-management skills
  • Strong communication skills, both written and verbal
  • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace)
  • Ability to work independently and as part of a team
  • Discretion and confidentiality in handling sensitive information
  • Experience in event coordination and project management is a plus
  • Valid driver's license and access to a personal vehicle for work-related travel
  • Flexibility to adapt to changing schedules and demands
Education and Experience
  • Minimum 2 years of experience as a Personal Assistant or in a similar administrative role
  • Experience supporting senior executives or management is highly desirable
  • Familiarity with office management procedures and basic accounting practices would be considered a plus
