Our client, a strongly established group of companies, is looking for a PA to the Director. The chosen candidate will be required to support with secretarial and Personal processes, including:

  • Schedule appointments, meetings, and travel arrangements;
  • Ensure the Director's calendar is up-to-date and conflicts are minimized;
  • Draft and edit correspondence, reports, presentations, and other documents;
  • Ensure accuracy and professionalism in all written communications;
  • Gather and analyze data for meetings, projects, and presentations;
  • Provide summarized information and insights to support decision-making;
  • Serve as the liaison between the Director and internal/external stakeholders;
  • Communicate effectively on behalf of the Director to maintain strong professional relationships;
  • Prepare agendas, take minutes, and follow up on action items;
  • Ensure meetings are well-organized and productive;
  • Manage incoming calls, emails, and other communications;
  • Prioritize and respond to messages on behalf of the Director;
  • Keep files, records, and documentation organized and accessible;
  • Ensure proper filing systems are in place and maintained;
  • Help prepare contracts, proposals, and other formal documents;
  • Ensure all documents are accurate and meet required standards;
  • Safeguard sensitive information and ensure confidentiality;
  • Follow protocols for secure handling of information;
  • Order supplies, manage office equipment, and oversee office operations;
  • Ensure the office runs smoothly and efficiently
  • Schedule personal appointments and coordinate family events;
  • Organize personal travel plans and accommodations;
  • Ensure all arrangements meet the Director’s preferences;
  • Track personal expenses and manage budgets;
  • Provide support in personal financial planning;
  • Undertake special tasks assigned by the Director, both professional and personal;
  • Ensure successful completion of these projects within set deadlines.

Requirements
  • Proven experience in the same role and industry is a requirement
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Discretion and ability to handle confidential information.
  • Strong interpersonal skills and professional demeanor.
  • Ability to multitask and prioritize effectively.
Education and Experience
  • Proficiency in office software (e.g., MS Office Suite).
  • Bachelor’s Degree in Business Administration, Management, or related field preferred, or equivalent experience.
