Our client, a local law firm is looking to employ a Legal Secretary and Office Administrator to join their team.


  • Assist legal professionals with administrative tasks.
  • Organize and manage legal documents and correspondence.
  • Maintain physical and electronic legal files.
  • Schedule appointments and meetings, update court calendar.
  • Help prepare and file legal documents with courts and agencies.
  • Handle calls and correspondence professionally.
  • Communicate effectively with clients, colleagues, and external parties.
  • Oversee office operations
  • Manage supplies and equipment, coordinate maintenance.
  • Handle mail and packages.
  • Process invoices, follow up with debtors.
  • Maintain and update lawyers' calendars.
  • Track court dates and deadlines.
  • Gather information for compliance reporting.
  • Maintain accurate compliance records.
  • Assist with policy and procedure implementation and monitoring.
Skill-sets and Requirements
  • Native level of English & Maltese.
  • One must have good communication, organisational and time management skills.
  • Proficiency in using office software, electronic filing systems, and other technology tools is essential.
  • The legal field can be fast-paced and subject to changes. Being adaptable and able to learn new tasks quickly is important.
Education & Experience
  • Previous experience in a similar role.
  • Relevant educational qualification.
