Actyf Ltd in Malta is currently looking to recruit a Hotel Junior Administrative Officer to join their team on a full-time basis.

Overview:

Actyf Ltd is excited to offer a unique opportunity for a self-motivated and dynamic individual to become a key part of our newly forming team as a Hotel Administrative Officer, working full-time. Reporting directly to the General Manager and Deputy General Manager, this pivotal role is essential to both the pre-opening preparations and the ongoing operations once the hotel is launched. This position offers the chance to be instrumental in establishing and shaping the administrative functions of a new hospitality brand from the ground up. Juniors and graduates with no professional experience are welcome to apply since professional support will be provided, and applicants will have the opportunity to grow within our group.

Key Responsibilities:

Administrative Duties (Initial Focus)

  • Organize, file, and maintain digital and physical records, ensuring timely access and accuracy of all cloud-based documentation
  • Enter data into databases or spreadsheets, ensuring accuracy and completeness to support daily operations and future reporting needs
  • Assist with scheduling appointments, coordinating meetings, and managing calendars
  • Draft, proofread, and send emails or correspondence as directed by management.

Reception Duties (Future Focus)

  • Assist guests with self-service check-in/out kiosks or digital apps, addressing any questions and troubleshooting issues
  • Use digital tools to assist guests with on-demand services, such as booking taxis, making restaurant reservations, and providing recommendations
  • Oversee digital payment systems, verify charges, and assist guests with questions related to automated billing
  • Prepare and serve a range of beverages, including cocktails, coffee, and non-alcoholic options, while delivering a personalized bar experience when needed
  • Assist the management in any administrative task as needed.

Requirements:

  • Previous experience in a similar role ( if any ) is an asset
  • Proficiency in Microsoft Office and Outlook is required
  • A willingness to learn, flexibility, and the ability to work effectively within a team and under pressure
  • Knowledge of any foreign language is welcome
  • A positive and welcoming attitude.
