Azzjoni Kattolika Maltija (AKM) is seeking to employ an Administrator on a part-time basis, for 20 hours/week, mornings, from Monday to Friday in our offices at the Catholic Institute in Floriana.

Key Responsibilities:

Co-ordinates the office and part-time employees (clerical staff, proof reader/s and page setter/s) and is responsible for a number of administrative and office tasks, which include, but are not limited to:

  • recording staff hours and days of absence, allocates workload to staff, liases with staff, AKM Board of Directors, other stakeholders and volunteers,
  • keeps constant communication with the printers regarding printing and delivery of newspaper to AKM and also regarding sales in shops,
  • updating and recording subscription data, keeping communication with subscribers regarding payment and other information updates,
  • responsible for the logistics and coordination of a group of volunteers who each week prepare the newspaper to be sent out by post,
  • answering phone calls and emails as required and taking care of related day-to-day administrative duties such as postal correspondence,
  • collecting payments and donations, making deposits and issuing invoices for payments and receipts accordingly,
  • daily checking of bank balances and monthly bank statements, preparing bank transfers for approval and processing, preparation of submissions of VAT returns,
  • organising book-keeping for auditing and reporting purposes, maintaining filing and data systems, compiling annual financial reports,
  • managing sources of advertising or other funding opportunities, 
  • keeping and maintaining the newspaper archive.

Requirements:

  • Self-motivated and energetic with a hands-on approach to work and a ‘can do’ attitude,
  •  Meticulous, thorough and organised,
  •  Able to work mornings, but also flexible to work hours as required by the nature of the tasks, staff and volunteers involved,
  •  Excellent time management skills, 
  •  Able to work on own initiative,
  •  Able to coordinate work and delegate to others,
  •  Computer literate and proficient in Microsoft Office applications,
  •  Experience in book-keeping or accounts,
  •  Very good telephone and communication skills,
  •  Must have good command of both written and spoken English and Maltese,
  •  Clean Police Conduct,
  •  Previous experience in a similar role will be considered an asset.
