General Office Administration:

• Reception and front office management including couriers both incoming and outgoing

• Liaising with the company’s selected courier personnel to deliver/collect documents to/from authorities and other corporate partners as needed

• Handling and record keeping of all committees, meetings, travel, and conferences

• Handling the booking of training courses for internal staff members, setting the necessary calendar appointments, and logging the training hours in accordance with the company internal policy

• Assist Chief Executive Officer (CEO) and other colleagues with clerical duties for day-to-day activities as needed

• Manage and keep the archiving system up to date, for all departments, in accordance with the company data-retention policy

• Responsible for day-to-day office administration

• PA to the CEO 

STCW

• Responsible for the day to day running of the STCW department including for the issuance of STCW endorsement and Seaman’s books for officers on board a Malta flagged vessel with Transport Malta:

1) Liaising with clients

2) Email/Inbox management

3) Record-keeping of applications

4) Applying via Transport Malta portal

5) Co-ordinating with the accounts department and management regarding clientele RFPs

Mandatory Competences

• Be proficient in the use of Microsoft Office, particularly Word and Excel

• Have strong verbal and written communication skills in English

• Be accurate and attentive to detail

• Be well-organised 

• Be capable of working well in a team

• Be presentable

• Minimum of one year of office work / corporate experience.
