An Administrative Assistant position has arisen within a Legal Firm. In this role you will be mainly responsible for:

  • Carrying out a variety of searches for the purpose of customer due diligence and ongoing monitoring and creating escalation memos when required
  • Providing first line support to lawyers
  • Handling enquiries by telephone and e-mail
  • Maintaining manual and electronic records
  • Keeping various registers up to date
  • Scheduling internal training and other events and updating a training log
  • Providing training on customer screening to firm members
  • Keeping minutes of team meetings
  • Opening and archiving of client files
  • Inputting of timesheets
  • Preparing invoices and debt collection
  • Carrying out AML checks on new clients
  • Handling incoming and outgoing mail and couriers
  • Performing general secretarial and office duties, including preparing boardrooms for meetings, greeting clients, filing, scanning and photocopying
  • Running errands in and out of Valletta

Working hours: Monday to Friday (08:30hrs - 17:30hrs)

Skill-sets and Requirements
  • Excellent communication skills in English, and preferably Maltese
  • Be able to work in a team, as well as individually without supervision
  • Be proactive and take initiative, work well under pressure and demonstrate attention to detail
  • Have excellent time management skills
Education & Experience
  • Minimum of A Level Education
  • Local Experience within a similar role
  • Proficiency in MS Office
