Our client who operates in the telecoms industry is looking for an Administration Executive to join their growing team. Reporting to the COO, your responsibilities will include: 

Office Management:

  • Represent the company professionally by handling calls, emails, and visitors.
  • Supervise office helpers, ensuring tasks are completed at a high standard, including timely supply orders and office cleanliness.
  • Coordinate office maintenance, recurring checks, and secure access.
  • Manage company insurance policies, review expenses, and assist in SOPs and policy implementation.
  • Support out-of-office tasks and oversee staff travel bookings and event planning.

Human Resources:

  • Schedule staff seminars, handle exam/training payments.
  • Allocate leave entitlements, report leaves to payroll, assist in onboarding/offboarding processes.
  • Coordinate environmental improvements for staff wellbeing.
  • Maintain up-to-date employee files and training records.

Quality Management:

  • Work with the Office Manager and COO during audits.
  • Assist in ISO certifications, manage internal quality procedures, and recommend improvements.
  • Enterprise Resource Planning (ERP):
  • Collaborate on ERP system customization and development.
  • Work with developers to ensure timely implementation of customizations.
  • Maintain reliable data in the ERP system and recommend improvements.

Compliance:

  • Ensure compliance with business-related obligations and health and safety regulations.
  • Stay updated on relevant legislation and compliance regulations.
  • Other:
  • Contribute to a positive work environment and continuous learning.
  • Perform any other duties assigned by the company within the employee's competency.
Skill-sets and Requirements
  • Holds a driving license that is valid in Malta
  • Strong attention to detail at all times & use your initiative to solve problems
Education & Experience
  • A higher education in Administration, Communications or Business
  • At least 2 years experience in a similar role
