E & L Enterprises is actively seeking a full-time Administrative Assistant to join our Administrative Team. The role involves coordination and verbal communication with staff, guests, and suppliers.

Main Responsibilities:

  • Handling incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Assisting in the recruitment process by posting job vacancies.
  • Coordinating and communicating with candidates throughout the hiring process.
  • Ensuring all necessary paperwork is completed and filed appropriately.
  • Maintaining and updating employee records, both in physical files and electronic databases.
  • Ensuring the accuracy and confidentiality of employee information.
  • Managing employee attendance and leave records.
  • Assisting in the issue of monthly and fortnightly payroll.
  • Inputting leave records into Shireburn Indigo.
  • Preparing and submitting required HR reports and documentation.
  • Monitoring stock levels and ordering supplies as required and ensuring that office supplies are always available.
  • Handling Jobsplus Forms for employee engagement and termination.
  • Assisting in applications and renewals of Identity Malta and Jobsplus work permits.
  • Performing other administrative tasks as required by the organization.

Requirements:

  • Proficient with the use of Shireburn Indigo.
  • Strong attention to detail.
  • Ability to listen actively and to work on own initiative.
  • Strong organizational and multitasking skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • 1-year experience in a similar job would be considered an asset.
