DMT Property Management Ltd in Malta is currently looking to recruit a Condominium Meeting Chairperson and Facilitator to join their team on a full-time basis.

We are looking for a Condominium Meeting Chairperson and Facilitator who thrives on engaging with different people, enjoys holding meetings, and embraces the variety of a role that takes them beyond the typical office setting. The ideal candidate is detail-oriented, passionate about customer service, and an excellent communicator who can build and maintain strong client relationships. 

Duties:

  • Independently chair multiple annual general meetings weekly and prepare the necessary documentation
  • Act as the central point of contact for property owners and tenants, addressing diverse matters efficiently
  • Correspond with various stakeholder and clients both electronically and in person
  • Prepare and disseminate minutes for annual general meetings
  • Follow up regarding any points raised by the owners both during the annual general meetings as well as throughout the year
  • Monitor and report on the condition of common areas, identifying any issues that require attention or immediate action
  • Assist the team in obtaining quotations from contractors and submittal of the proposal to the owners with regards to any extraordinary repairs
  • Support the team in overseeing any works approved by the owners
  • Ensure and oversee that routine maintenance is carried out on lifts, fire appliances and other equipment as per maintenance schedule
  • Conduct regular site visits to various blocks of apartments as needed
  • Perform any other duties that may be required.

Work Schedule:

  • 40 hours a week spread over Monday to Saturday
  • The job will include onsite visits as well as office-based tasks.

Experience required:

  • Experience in the condominium administration industry is considered as an asset.

Knowledge and Skills Required:

  • Be able to communicate clearly and effectively with clients in English and in Maltese
  • Possess assertive communication and charismatic personality 
  • Be detail-oriented and highly organised
  • Be proactive and have a methodical work approach
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • European passport or permission to work in Malta
  • Possession of a vehicle and valid driving license (Category B)
  • Clean police conduct certificate (must be presented).
