Mid Knight Holdings Ltd (The Centre) in Malta is looking to recruit a Help Desk Assistant to join their team on a full-time basis.

Job Role:
To perform administrative and general office work in particular within the main reception of a prestigious Business Centre.

Responsibilities:

  • To create, file and retrieve all documents as and when requested by the Facilities Manager and the Operations Executive,
  • To operate the Help Desk, including taking work requests and generating the request in a central CRM system.
  • To close off work orders on completion.
  • To draft and type correspondence or other assigned material as directed by the Line Managers.
  • To perform on-site inspections as required.
  • To sort and distribute mail and dispatch outgoing mail daily.
  • To administer and manage the confidential information data pertaining to Business Partners.
  • To ensure that all letters and emails are sent out and that all communication received is vetted and forwarded to the person or department concerned.
  • To liaise with the Facilities Manager to have full knowledge and implement established policies and procedures.
  • Must take all steps necessary to improve performance standards.
  • Support in the programming of access cards for the business partners,
  • Greeting visitors in a polite manner and directing them to the respective tenant,
  • Support management on new projects related to the main office business as required.

  • Ability to perform several tasks concurrently under varying deadlines
  • Ability to exercise tact, good judgment, and initiative in dealing with tenants, visitors, and contractors,
  • Skill in operating in Microsoft Office and other software as required, including PABX telephone and messaging system
  • Ability to communicate clearly and concisely, both orally and in writing including clear, polite telephone communication skills
  • Ability to maintain professionalism with difficult or demanding people
  • Ability to identify sensitive information and maintain confidentiality
  • Ability to work efficiently under minimum supervision.
