DMT Property Management Limited in Malta is currently seeking to recruit an Office Support Administrator to join their team on a full-time basis.

Overview:

The right person is expected to support the Condominium Administration team in ensuring a smooth running of the operations in administering the condominium of various blocks of apartments in Malta and Gozo. The Office Support Administrator will carry out various administrative and clerical tasks as well as assist in keeping all files and documents organised and up to-date. Additionally, handle customer care responsibilities by addressing enquiries and resolving concerns to ensure client satisfaction.

Key Responsibilities:

  • Handle Customer correspondence and promptly reply to all enquiries within the reasonable timeframe as established by the Superior 
  • Follow up on Customer communication and ensure all enquiries are being handled to ensure a positive customer experience 
  • Carry out daily administration duties including the compilation of documentation and basic posting transactions in a timely manner
  • Scan, file, and input invoices as required
  • Liaise with colleagues and clients for the setup and coordination of meetings
  • Ensure the meeting room is kept cleaned and organised prior to meetings
  • Procure and manage office supplies needed for the functioning of the team
  • Contribute to the overall upkeep of the office
  • Assist the team in maintaining a filing system
  • Provide support for various administrative tasks such as scanning and filling
  • Collaborate in the creation of standard operating procedures and similar documents as may be required
  • Perform any other duties that may be required as instructed by direct superior
  • Attend relevant training and workshops to increase own knowledge.

Knowledge and Skills Required:

  • Ability to communicate clearly and effectively with clients in English and ideally in Maltese
  • Detail-oriented and highly organised
  • Proactive with a methodical work approach
  • Proficient in using Microsoft Office programmes (Word, Excel and PowerPoint)
  • European passport or permission to work in Malta
  • Clean police conduct certificate (must be presented).
