Description

We are seeking an Office Administrator to oversee office operations in Malta, act as the focal point for all administrative tasks and provide support for Director/s. This role is ideal for someone energetic, organised, friendly, detail-oriented, and with previous experience in a similar position. You will gain valuable experience and contribute to our organization's success and growth.

Responsibilities 

  • Maintain an organised and efficient front desk and well-run office.
  • Responsible for day-to-day administrative operations within the company and for facility related services, including maintenance, security and office health and safety. 
  • Document expenses, update records, and submit reports to Finance.
  • Manage office facilities requests and supplies, including ordering as needed. 
  • Ensure fire safety and first aid responsibilities for the office staff. 
  • Handle business travel and accommodation arrangements for staff/visitors, provide support and guidance when needed.
  • Assist the People & Talent department with onboarding new employees, managing the company's benefits packages, and overseeing shift schedules.
  • Organise and coordinate events and meetings. 
  • Other office administration ad-hoc tasks. 

Requirements

  • Friendly demeanor, strong organisational and communication skills, eager to assist colleagues.
  • Minimum 1 year of office administration experience.
  • Excellent interpersonal skills and customer-oriented mindset.
  • Fluent in English. 
  • Advanced knowledge of MS Office applications.
  • Knowledge of Italian and/or Maltese language/s will be considered an asset. 
  • Experience with Jira Software is a plus.
  • Onsite position, requires working daily from the office.
