Role Overview
Heroix is collaborating with our Client, a prominent organisation within the legal sector, to recruit a Front Office Clerk who will serve as the first point of contact for visitors and provide essential administrative support to ensure the efficient day-to-day functioning of the office. This role is suited to an organised and service-oriented individual who enjoys interacting with people, managing administrative duties, and contributing to a professional workplace environment.

Key Responsibilities

  • Client Reception: Welcome visitors in a professional and courteous manner, ensuring they receive appropriate assistance and a positive experience when engaging with the Firm.
  • Telephone Management: Manage incoming calls efficiently, identify the purpose of each enquiry, and ensure communications are directed to the relevant team members.
  • Administrative Support: Provide assistance with general office administration, helping maintain smooth internal processes and supporting daily operational requirements.
  • Mail and Deliveries: Coordinate the receipt, handling, and distribution of correspondence, packages, and other deliveries received by the office.
  • Office Coordination: Support the wider team with organisational tasks and contribute towards maintaining an efficient and well-structured front office environment.

Qualifications, Skills, and Attributes

  • Education: Qualifications in administration, business studies, or a related area will be considered an asset.
  • Experience: Previous experience in a reception, administrative, or customer-facing role would be advantageous.
  • Language Skills: Excellent command of both Maltese and English is required to succeed in this role. 
  • Communication Skills: Strong verbal and written communication abilities, with the confidence to interact professionally with clients, colleagues, and external contacts.
  • Interpersonal Skills: A friendly, approachable, and professional manner with the ability to build positive relationships with different stakeholders.
  • Technical Skills: Proficiency in Microsoft Office applications, including MS Excel, MS Word, and MS Outlook.
  • Organisation: Highly organised with strong attention to detail and the ability to prioritise multiple tasks effectively.
  • Self-Motivated: A dependable and proactive individual who takes ownership of responsibilities and demonstrates a willingness to learn.
  • Problem-Solving: Ability to handle routine challenges calmly, use initiative, and find practical solutions when required.
