Role Overview

Heroix is supporting a respected organisation within the shipping and logistics sector in the search for a Customs Clearance Administrator. This position will play a key role in ensuring the efficient handling of customs-related processes for international cargo movements while acting as a point of contact for clients requiring guidance on shipment documentation and clearance procedures. The successful candidate will contribute to the smooth flow of import and export operations within a fast-paced environment.

Key Responsibilities

  • Customs Documentation Management: Prepare, review, and submit customs-related paperwork required for the movement of goods entering and leaving Malta, ensuring accuracy and compliance with applicable regulations.
  • Client Liaison: Engage with customers to obtain supporting documentation and information necessary for customs declarations and shipment processing.
  • Shipment Coordination: Monitor customs clearance activities and assist in facilitating the timely release and onward movement of consignments.
  • Customer Support: Respond to enquiries relating to customs procedures, shipment status, and documentation requirements, providing professional and efficient assistance.
  • Team Collaboration: Work closely with colleagues across logistics, shipping, and operational functions to support the successful completion of daily activities and service commitments.

Qualifications, Skills and Attributes

  • Education: A good standard of education is required. Formal training in administration, logistics, shipping, or related disciplines will be considered an asset. ECDL certification is preferred.
  • Experience: Previous experience within a ship agency, freight forwarding organisation, logistics provider, or the purchasing function of an importing or manufacturing business is highly desirable.
  • Language Skills: Excellent command of English is required to succeed in this role. The ability to communicate in Maltese would be an asset.
  • Communication Skills: Able to communicate clearly and professionally with customers, suppliers, and internal stakeholders.
  • Interpersonal Skills: A collaborative approach with the ability to build positive working relationships and contribute effectively within a team environment.
  • Technical Skills: Proficient in the use of computer applications and office software. Knowledge of customs procedures, shipping documentation, or logistics systems will be advantageous.
  • Organisation: Strong attention to detail with the ability to manage multiple tasks, prioritise workloads, and meet deadlines.
  • Self-Motivated: Demonstrates initiative, reliability, and a commitment to maintaining high standards of work.
  • Problem-Solving: Capable of identifying issues, gathering relevant information, and contributing to practical solutions in a timely manner.
