Baker Tilly is looking for an Administrative & Corporate Services Executive to join our Administrative & Corporate Services Team.

The team primarily focuses on providing support that facilitates the efficient operation of the firm’s internal functions, while also collaborating with professionals across the firm to deliver efficient and meaningful support to our clients. We are looking for candidates who are presentable, enthusiastic, and dependable, with the ability to work independently and meet deadlines. Excellent communication skills are essential, as the role involves acting as the firm’s first point of contact.

Responsibilities

This role will include, but is not limited to, the following:

Administrative Duties

  • greeting visitors and clients with professionalism
  • handling phone calls and taking relevant messages efficiently
  • handling filing, scanning, photocopying, binding, and document management
  • handling incoming and outgoing mail and deliveries (including sorting, scanning, and distribution)
  • handling orders for maintaining office supplies, stationery, and groceries
  • handling orders for servicing fire equipment and health and safety supplies
  • handling petty cash records and performing monthly reconciliations
  • maintaining confidentiality and proper handling of sensitive information
  • maintaining organised and updated records and databases
  • maintaining the general upkeep of the administration area, conference rooms, and common office spaces
  • performing general day-to-day administrative duties as required by the firm

Corporate Services Duties

  • assisting with the preparation and organisation of documents for client signature/collection
  • assisting with the preparation and filing of documents, and liaising with relevant authorities (e.g. MBR)
  • assisting with the coordination of document certification and legalisation, and liaising with relevant authorities (e.g. MFT)
  • assisting with the planning, coordination, and execution of internal events
  • performing general corporate support duties as required by the firm

Requirements

The ideal candidate should:

  • possess excellent verbal and written communication skills in English, with Maltese considered an asset and additional languages viewed favourably
  • have experience in a similar role, with a proactive approach to work and a willingness to learn and contribute within a diverse team
  • demonstrate an interest in event coordination, with relevant experience considered an asset
  • demonstrate strong multitasking and time-management skills, with the ability to prioritise effectively
  • possess strong organisational and problem-solving skills, with a high level of attention to detail
  • be proficient in Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Teams)
  • demonstrate a professional attitude and a strong customer service focus
