Our client, within the Financial Services Industry are looking for a an organised and detail-oriented Administrative Assistant to join their team. The ideal candidate will have excellent communication and organisational skills, as well as a strong ability to multi-task and prioritise.

Your responsibilities will include:

  • Assist the Legal Affairs Section with coordination efforts, including organising training events and Public Private Partnership initiatives, handling logistical details, designing agendas, and sourcing speakers and participants.
  • Record statistical data.
  • Help create PowerPoint presentations for training sessions conducted by team members.
  • Format and design guidance documents and other materials drafted.
  • Manage the mailboxes.
  • Take and organise minutes during meetings as required.
  • Provide administrative support for court-related matters.
  • Offer general administrative assistance, including sending emails, scheduling meetings, coordinating with IT for website updates, and maintaining folders and databases.
  • Perform ancillary tasks such as filing, scanning, printing, and photocopying documents.
  • Complete additional administrative duties as assigned.

Working Hours: Monday - Friday 

Winter Hours: 08:00 - 17:00

Summer Hours: 08:00 - 13:30

Requirements
  • Fluency in both Maltese and English.
  • Hold at least an MQF 4 Level standard of education and have a minimum of 2 years of relevant experience or a school leaving certificate with at least 5 years of relevant experience.
  • Relevant work experience in a similar role and proficiency in graphic design tools like Canva will be considered advantageous.
  • Applicants should have strong skills in Microsoft Office applications.
  • Must be capable of working both independently and collaboratively within a team.
  • Well-organised, proactive, and able to effectively manage multiple tasks.
