Aquani (Nibe Beverages Limited) in Malta is currently looking to recruit a Purchasing and Shipping Administrator to join their team on a full-time basis.

Job Description:
As a Purchasing and Shipping Administrator, you will play a crucial role in ensuring the smooth operation of our purchasing and shipping processes. You will be responsible for coordinating and executing procurement activities, managing vendor relationships, and overseeing the shipping and logistics functions to ensure the timely delivery of goods and materials. Your attention to detail, organizational skills, and ability to communicate effectively will contribute to the efficiency and success of our operations.

Key Responsibilities:

  • Coordinate and process purchase orders by company policies and procedures
  • Source and negotiate with suppliers to obtain the best terms and pricing for goods and services
  • Maintain accurate records of purchases, inventory levels, and supplier information
  • Monitor and track shipments to ensure on-time delivery and resolve any issues or delays that may arise
  • Liaise with internal stakeholders to assess procurement needs and provide timely updates on order status
  • Assist in the development and implementation of purchasing strategies to optimize cost savings and efficiency
  • Collaborate with shipping carriers and logistics providers to arrange transportation and manage freight forwarding activities 
  • Prepare and review shipping documents, including invoices, packing lists, and customs declarations, to ensure compliance with regulations
  • Handle inquiries and resolve discrepancies related to purchasing and shipping processes
  • Contribute to continuous improvement initiatives to streamline procedures and enhance operational effectiveness.


Requirements:

  • Bachelor's degree in business administration, supply chain management, or a related field
  • Proven experience in purchasing, procurement, or logistics roles, preferably in a manufacturing or distribution environment
  • Strong understanding of procurement principles, sourcing strategies, and vendor management practices
  • Excellent communication skills in English, both verbal and written, with the ability to interact effectively with internal teams and external suppliers
  • Proficiency in using procurement software, inventory management systems, and Microsoft Office Suite
  • Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment
  • Attention to detail and accuracy in data entry and record-keeping
  • Knowledge of international shipping regulations, customs procedures, and Incoterms
  • Problem-solving skills and the ability to think critically to resolve issues efficiently
  • Willingness to adapt to changing priorities and embrace new challenges in a dynamic work environment.
