  • Establishing, compiling, and disseminating the entity's procurement and purchasing standard operating procedures (SOPs).
  • Regularly compiling and analyzing requisition orders from each HOD, ensuring initial CEO approval.
  • Coordinating with suppliers to gather necessary quotations and proposals.
  • Issuing purchase orders after RFP approval.
  • Conducting comparative analysis of received quotations and making recommendations for awards.
  • Developing a supplier database tailored to the entity’s operational needs, aiming at cost control and containment across all departments.
  • Issuing monthly departmental procurement reports that clearly outline departmental expenditures and suggest areas for improvement.
  • Performing detailed spend analysis linked to operational data, focusing on regular material expenditures.
  • Compiling specification documents when a request for proposal/procurement is initiated.
  • Maintaining regular communication with HODs to understand departmental needs and identify operational priorities.
  • Gaining an in-depth understanding of the GOM clinical procurement currently managed by the matron to provide procurement and administrative support.
  • Conducting monthly departmental stock takes for internal control and management accounting purposes.
  • Performing other general administrative, financial, or procurement duties as necessary.
Requirements
  • Proficiency in procurement software and systems.
  • Advanced skills in Microsoft Office.
  • Excellent communication skills for liaising with suppliers and maintaining regular contact with HODs.
  • Strong negotiation skills to obtain favorable quotations and proposals from suppliers.
  • Strong attention to detail for tasks such as comparative analysis of quotations and monthly departmental stock takes.
  • Capability to issue reports and compile forms related to stock monitoring and control.
Education and Experience
  • Previous experience in a similar role.
  • Relevant educational experience.
