B2B Department Assistant Full-Time | Monday–Friday | 09:00–17:00 Location: B&M Limited, Birkirkara

About the Role

As B&M continues to strengthen its presence in the commercial and professional sector, we are seeking a B2B Department Assistant to support our B2B Manager in the daily running of the department. This role is ideal for someone organised, proactive, and comfortable working in a fast-paced environment where accuracy, communication, and follow‑through are essential.

You will play a key part in ensuring smooth coordination between our internal teams, suppliers, and professional clients such as architects, designers, contractors, and corporate buyers.

Key Responsibilities

  • Provide administrative and organisational support to the B2B Manager
  • Assist with preparing quotations, proposals, and product information for professional clients
  • Coordinate communication between the B2B department and internal teams (sales, logistics, procurement, accounts)
  • Manage emails, scheduling, and follow‑ups to ensure timely responses and smooth workflow
  • Maintain and update client records, project files, and CRM entries
  • Support with order processing, documentation, and tracking
  • Assist in preparing presentations, product packs, and meeting materials
  • Ensure the B2B office environment is organised, efficient, and well‑structured
  • Handle general administrative duties including filing, data entry, and document management

What We’re Looking For

You are someone who:

  • Communicates clearly, professionally, and confidently
  • Is organised, detail‑oriented, and able to manage multiple tasks at once
  • Enjoys supporting a team and ensuring processes run smoothly
  • Is comfortable working with documents, spreadsheets, and digital tools
  • Has a positive, proactive attitude and takes initiative
  • Works well with professionals such as architects, designers, and contractors
  • Has previous administrative or coordination experience (an asset but not required)
  • Clean Drivers Licence 
  • Is fluent in Maltese and English

Working Hours

This is a full‑time position with a structured weekly schedule:

Monday to Friday: 09:00 – 17:00

Weekends: Off

This role offers a stable routine with no evening or weekend work.
