IRIS THAUMAS Ltd in Malta is looking for an HR Administrator / Office Manager to join their client's team on a full-time basis.

JOB ROLE:
The selected candidate will be responsible for providing comprehensive support in the day-to-day operations of human resources, ensuring the efficient delivery of salary payments and adjustments, the recruitment processes, employee benefits administration, new employee orientation and onboarding, and the accuracy and maintenance of employee records. The HR Administrator / Office Manager works closely with other departments to provide customer-focused, effective HR service to the organization for the achievement of the organization’s goals and objectives and will also be responsible for ensuring that all of the administrative activities are efficiently addressed, including travel arrangements, supply, and equipment purchasing, file management, administrative support, and related activities.

ABOUT OUR CLIENT:
Our client is a company that is in the business of purchasing, selling, and managing aircraft, and providing aircraft fractional ownership programs and is located in Ta' Xbiex, Malta.

DUTIES AND RESPONSIBILITIES:

  • Prepares and posts job advertisements, screens applications, arranges interviews, participates in the selection process, maintain a spreadsheet tracking applicant, and administers pre-employment tests as required
  • Provides general administrative support such as preparing correspondence, forms, and reports, arranging meetings, composing regular correspondence, processing confidential reports and documents (electronic and hard copy files), and tracking deadlines
  • Prepares documentation for new hires, or changes in pay, status, or, benefits
  • Establishes, maintains and controls employee records, recruitment records, files, correspondence, reports, and organization charts
  • Manages sensitive and confidential matters including employee relations and organization changes, and protects the security of information, data, and files
  • Responds to and processes various requests from managers, employees, and others
  • Exercises individual judgment when dealing with potential or real issues and brings them to the manager’s attention
  • Interprets, assists, and advises employees and managers regarding leave management and benefits administration, and HR procedures and policies within the specified guidelines
  • Conducts research, gathers data and statistical reports, and maintains statistical information
  • Coordinates training events or programs and recommends resources, as needed
  • Keeps up to date on current issues and matters in the organization related to the HR department
  • Administers and monitors new hire orientation programs
  • Maintains updated/current job descriptions
  • Administers drug, and criminal record checks and other pre-employment screening
  • Maintains and monitors records of employee benefits and salary
  • Maintains employee files by handling changes in employee status in a timely manner
  • Ensures effective receipt of and/or proper approvals on forms and enters changes in the system
  • Prepares paperwork needed to create new employee profiles and to place new employees on the payroll
  • Assists in the maintenance of employee directory and company organization charts
  • Provides assistance in monitoring employee performance appraisals and the salary increase/budget process
  • Interacts with and supplies information to employees, department heads, and job applicants
  • Maintains logs/records of training and reporting compliance
  • Allocates, assigns, and monitors all of the administrative resources for the company to enable successful task performance
  • Organizes and supervises all travel arrangements, supply ordering and inventory, record and file retention, and other related general office duties
  • Backup receptionist and administrative assistant duties as required.

REQUIREMENTS AND SKILLS:
  • 3+ years of general administrative assistant experience, including 2 years of HR administration experience is required
  • Knowledge of the recruitment process
  • Proficient in Microsoft Excel, Word, Outlook, and Internet Explorer
  • Proficient with basic budget management and calculations
  • Good problem-solving skills
  • Competent keyboard skills to produce accurate and professional reports
  • Able to present information in forms, tables, and spreadsheets

EDUCATION:
A high school diploma / Degree in Human Resource Management is preferred.

WORKING TIME:
Monday to Friday, from 09:00 to 17:00.

SALARY AND BENEFITS:
  • €20K - €25K  p.a. depending on experience
  • 30 days annual leave.
