Role Overview

Heroix is supporting our Client in the search for a Senior Corporate Services Executive to join their professional services team. This position involves overseeing a portfolio of corporate clients, ensuring compliance with statutory obligations, coordinating corporate transactions, and providing administrative and governance support while maintaining the highest standards of service delivery.

Key Responsibilities

  • Client Relationship Management: Act as a primary point of contact for assigned clients, responding to queries, providing updates, and maintaining strong professional relationships.
  • Corporate Compliance: Monitor regulatory and statutory obligations applicable to client entities and ensure all requirements are fulfilled within established deadlines.
  • Authority Liaison: Coordinate communications with regulatory bodies, government authorities, financial institutions, and other relevant stakeholders on behalf of clients.
  • Corporate Transactions: Support and manage company formations, re-domiciliations, shareholding changes, dissolutions, and other corporate restructuring activities in accordance with applicable legislation.
  • Documentation Management: Prepare, review, and maintain corporate records, resolutions, agreements, minutes, and other governance-related documentation to ensure accuracy and completeness.
  • Board Meeting Support: Organise board and shareholder meetings, attend when required, record proceedings, and ensure resolutions and decisions are properly documented and implemented.
  • Beneficial Ownership Administration: Assist with matters relating to beneficial ownership requirements, including the preparation and submission of supporting information requested by authorities.
  • Banking Administration: Support clients with banking-related processes, including account opening documentation and payment preparation where authorised.
  • Team Guidance: Provide support, coaching, and day-to-day guidance to junior team members to encourage knowledge sharing and professional development.
  • Records Maintenance: Ensure that physical and electronic client records are maintained accurately, securely, and in line with internal procedures.

Qualifications, Skills and Attributes

  • Education: A qualification at MQF Level 5 or higher is required. A university degree at MQF Level 6 level will be considered an advantage.
  • Experience: A minimum of three years' experience within corporate administration, company secretarial services, corporate services, or a related professional environment.
  • Language Skills: Excellent command of English is required to succeed in this role. The ability to communicate in Maltese would be an asset.
  • Communication Skills: Ability to communicate professionally with clients, colleagues, authorities, and external stakeholders, both verbally and in writing.
  • Interpersonal Skills: Strong relationship-building abilities with a client-focused approach and the confidence to work with senior-level contacts.
  • Technical Skills: Good understanding of Maltese corporate legislation, governance requirements, and corporate administration practices, together with proficiency in Microsoft Office applications.
  • Organisation: Excellent planning and prioritisation skills, with the ability to manage multiple assignments and meet strict deadlines.
  • Self-Motivated: A proactive individual who can work independently, take initiative, and maintain a high standard of work with minimal supervision.
  • Problem-Solving: Capable of identifying issues, evaluating options, and implementing practical solutions in a timely manner.
  • Attention to Detail: Meticulous approach to reviewing documentation and maintaining accurate records.
