Property Partners is seeking a highly organized, proactive, and detail-oriented Executive Administrative Manager to support the Managing Director and assist with the day-to-day administration of the company’s short-let and property management operations.

This role is ideal for someone who enjoys taking ownership, solving problems, staying organized, and ensuring that nothing falls through the cracks. The successful candidate will play a key role in maintaining smooth communication, financial administration, guest satisfaction, and overall business efficiency.

Key Responsibilities

Executive Support

* Assist the Managing Director with daily business tasks and priorities.

* Prepare agendas, reports, and documentation for meetings.

* Take meeting notes and follow up on action items.

* Monitor deadlines and ensure tasks are completed on time.

* Manage calendars, appointments, and scheduling when required.

* Assist with project coordination and implementation of new systems.

Guest Experience & Review Management

* Monitor Airbnb, Booking.com, and Guesty communications.

* Ensure guest messages are replied to promptly and professionally.

* Follow up with Property Managers on unanswered guest inquiries.

* Monitor guest satisfaction and escalate complaints when necessary.

* Respond to guest reviews across all platforms.

* Identify recurring guest issues and prepare improvement reports.

* Assist with compensation cases, refunds, and dispute tracking.

Financial Administration

* Prepare monthly revenue reports and performance summaries.

* Maintain revenue tracking spreadsheets.

* Process supplier invoices and ensure accurate record keeping.

* Coordinate payments to suppliers and service providers.

* Track expenses and organize financial documentation.

* Assist with reconciliations and monthly financial reporting.

* Ensure all invoices and receipts are correctly filed.

Administrative Management

* Maintain digital filing systems and company records.

* Organize contracts, agreements, permits, and operational documents.

* Update company databases and spreadsheets.

* Ensure all information is accurate and up to date.

* Create and maintain SOPs, templates, and company procedures.

* Assist with onboarding documentation for new team members.

Property Management Support

* Monitor task completion across Guesty.

* Ensure maintenance issues are being followed up.

* Track property inspections and quality control reports.

* Assist with scheduling and coordination between cleaners, maintenance personnel, and property managers.

* Follow up on unresolved operational issues.

* Monitor occupancy, booking trends, and property performance.

Team Coordination

* Prepare weekly and monthly performance reports.

* Coordinate internal meetings and team communications.

* Ensure team members have the information required to perform their roles effectively.

* Assist with roster planning and administrative support.

* Maintain internal communication channels and company groups.

Reporting & Business Development

* Produce weekly KPI reports.

* Monitor company performance metrics.

* Identify inefficiencies and recommend improvements.

* Assist with the implementation of new systems and processes.

* Support management in achieving company goals and targets.

Requirements

* Excellent English communication skills, both written and verbal.

* Strong organizational and time management skills.

* Ability to work independently and prioritize tasks.

* Strong attention to detail.

* Experience with Microsoft Excel and Google Sheets.

* Ability to handle confidential information professionally.

* Strong problem-solving abilities.

* Previous experience in administration, hospitality, customer service, or property management is considered an asset.
