Job Summary
The Healthcare Receptionist is the first point of contact for residents, relatives, visitors, healthcare professionals, and staff within the elderly home. The role involves providing professional front-desk and administrative support while ensuring a welcoming, respectful, and compassionate environment for elderly residents.
The receptionist is responsible for managing telephone calls, appointments, visitor coordination, documentation, and general administrative duties in compliance with healthcare and confidentiality standards.

Key Responsibilities
Front Desk & Communication
• Welcome residents, families, visitors, contractors, and healthcare professionals in a courteous and professional manner.
• Answer and direct incoming telephone calls promptly and accurately.
• Respond to general enquiries regarding the facility’s services and operations.
• Manage visitor sign-in procedures and maintain security protocols.
Administrative Duties
• Maintain resident records, files, and administrative documentation accurately.
• Schedule appointments, meetings, and transportation for residents when required.
• Assist with admissions and discharge paperwork.
• Handle incoming and outgoing mail, emails, and deliveries.
• Support management with data entry, filing, photocopying, and document preparation.
Resident & Family Support
• Provide compassionate assistance to residents and relatives.
• Communicate messages between nursing staff, residents, families, and external healthcare providers.
• Ensure confidentiality and privacy of resident information at all times.
Coordination & Compliance
• Carry out duties as required and directed by the Home Manager
• Liaise with doctors, nurses and allied healthcare professionals.
• Follow health and safety procedures, infection prevention measures, and safeguarding policies.
• Comply with GDPR/confidentiality and elderly care regulations.
• Maintain reception and lounge areas in a clean and organised manner.
Requirements & Qualifications
• Previous experience in reception, administration, or customer service, preferably within healthcare or elderly care.
• Excellent communication and interpersonal skills.
• Compassionate, patient, and professional attitude toward elderly residents.
• Good organizational and multitasking abilities.
• Proficiency in Microsoft Office and administrative systems.
• Ability to maintain confidentiality and handle sensitive information.
• Fluent Maltese and English required; additional languages are considered an asset.
Preferred Skills
• Experience working in a nursing home, residential care home, or healthcare setting.
• Knowledge of healthcare administration procedures.
• Ability to work calmly under pressure.
• Strong teamwork and problem-solving skills.
Working Conditions
• Shift-based schedule may include weekends and public holidays.
• Interaction with elderly residents, visitors, healthcare staff, and external service providers.
• To attend the appropriate training programmes, where available which will further improve existing knowledge.
