A client of ours operating within the Construction industry, is looking to recruit a Personal Assistant to support the Director in various day-to-day activities. The chosen candidate will be responsible for the below:

  • Efficiently managing the CEO's schedule, communications, and various administrative tasks, as necessary
  • Scheduling appointments, meetings, and travel arrangements, optimizing daily schedules, providing reminders and preparatory briefs, and serving as the primary gatekeeper for communications;
  • Coordinate and prepare for meetings attended by the Director, including scheduling, agenda creation, document preparation, and logistics coordination. Also, attend meetings as required, take minutes, and follow up on action items;
  • Handle confidential information with discretion and maintain the highest level of confidentiality at all times;
  • Serving as the initial point of contact for the Director, handling inquiries with tact, and managing personal tasks with discretion;
  • Supporting office operations, handling confidential information, and providing ad-hoc support for special projects;
  • Managing certain financial tasks, including payments and deposits to the bank, issuing invoices, recording sales & expenses, bank reconciliations, and preparing reports, as necessary.

Requirements:

  • Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills in both English; Maltese is preferred
  • A professional demeanor and the ability to interact effectively with individuals at all levels.
  • Strong attention to detail and accuracy, with the ability to maintain composure under pressure.
  • Discretion and integrity when handling confidential information and sensitive matters.
  • Flexibility and adaptability to changing priorities and responsibilities.
  • Proficiency in Microsoft Office Suite

Education & Experience:

  • Proven experience of not less than 3 years in a similar role supporting senior executives is a must
  • Candidates with prior experience as a Personal Assistant will be preferred
  • A Level Standard of Education or equivalent as a minimum, is mandatory
  • Certification in Administration, Management or a related subject is highly advantageous
