Catena Media in Malta is looking to recruit an Office Manager to join their team on a full-time basis. This role is the first point of contact for Catena Media, oversees the office facilities, covers front desk and day-to-day administration tasks.
Scope of the job:
The Office Manager undertakes a range of functions to make sure the operational activities within the organization run smoothly. The Office Manager takes responsibility for the office sub-contractors such as cleaners and maintenance.
Your challenge:
Meeting and greeting people
Overseeing the front desk, answering the phone, and dealing with post, couriers, etc.
Managing office attendance sheet and ‘hot desk’ booking system
Maintaining and preparing the meeting rooms and making sure the office is organized and tidy
Handling the workplace inspections/audits, fire, and health & safety, and controlling the fire alarm
Managing the selection, training booking, and replacement of fire wardens and first aiders
Handling all purchasing of office beverages, stationery, toiletries, etc.
Liaising with the Finance department regarding purchases, orders, and invoices
Keeping up to date the stationery & office supplies, furniture, and merchandise, etc.
Handling the office insurances
Coordinating any office maintenance needs
Managing the office sub-contractors such as cleaners, maintenance, drivers, etc.
Liaising with the landlords
Act as point of contact for sublease tenants and respond to needs and inquiries
Coordinating recycling and waste management
Booking flights, airport transfers & accommodation for management and new joiners
Liaising with the Tech. department to set up work stations for new joiners
Liaising with the Chief HR Officer to locate suitable business premises and negotiate reasonable leasing agreements
Overseeing office development initiatives and looking for improvements
Other duties as requested by the Chief HR Officer and other departments on a day to day basis
To do it, you will need:
Experience in a similar role
Experience in managing an office
Good working knowledge of Microsoft Office applications
Being comfortable working in a team environment, yet be able to be proactive and independent
Being flexible and adapting according to the situation at hand
