Centrecom Limited in Malta is currently looking to recruit a Office Coordinator to join their team on a full-time basis.

Overview:

This fast-paced role is the key point of contact for the employees. 

The ideal candidate will provide administrative and clerical support to the Rostering Specialists by handling routine communications, data entry, and record keeping related to rostering operations. The role contributes to the smooth and efficient functioning of the rostering service by ensuring information is accurately captured, documented, and processed in a timely manner. 

This position operates in a fast-paced environment and requires a high level of accuracy, organisation, and customer service when dealing with employees and internal stakeholders

Responsibilities: 

  • Answer incoming calls related to rosters, replacements, and general rostering enquiries
  • Log and record roster-related queries and requests.
  • Acknowledge receipt of requests and forward cases to the Rostering Specialist or Team leader where approval or validation is required.
  • Follow up with employees to obtain missing or incomplete information (e.g., dates, shift type, reason).
  • Populate roster templates using instructions and guidance provided by the Rostering Specialist and Team leader.
  • Save, organise, and file daily and two-week rosters in the designated folders.
  • Record sick leave and absence notifications in the relevant trackers.
  • Carry out general administrative duties in support of the rostering function.
  • Perform any other duties reasonably assigned by management from time to time.


Requirements:

  • Available to work on a shift basis (2in-2out), including weekends.
  • Knowledge of the Maltese language is essential
  • Fluency in English is required as well
  • Basic Excel Skills
  • Excellent written and verbal communication skills
  • Ability to discuss and resolve problems with other members of the team
