Role Overview
In collaboration with our Client, Heroix is seeking a highly organised Administrative Officer to join its administrative team. The successful candidate will be responsible for delivering a wide range of office support functions, ensuring the smooth coordination of daily activities, and assisting both internal teams and external stakeholders. This role requires strong attention to detail, excellent communication abilities, and the capacity to manage multiple tasks efficiently in a fast-paced setting.

Key Responsibilities

  • Secretarial Support: Provide comprehensive day-to-day administrative and clerical assistance to ensure smooth office operations.
  • Records Management: Maintain both digital and physical filing systems in an orderly and accessible manner, ensuring documentation is accurately stored and updated.
  • Meeting & Event Coordination: Organise meeting schedules, prepare necessary materials, and manage logistics related to conferences and external events.
  • Client & Communication Handling: Respond to incoming calls and assist clients with their administrative queries in a professional and timely manner.
  • Training & Office Coordination: Support the registration of staff for training initiatives and coordinate associated arrangements to ensure seamless participation.

Qualifications, Skills, and Attributes

  • Education: Minimum A’ Level standard of education or equivalent.
  • Experience: Previous experience in an administrative or secretarial role will be considered an advantage.
  • Language Skills: Excellent command of English and Maltese, both written and spoken, is essential for success in this role.
  • Communication Skills: Strong verbal and written communication skills with the ability to interact professionally with clients and colleagues.
  • Interpersonal Skills: A courteous, approachable, and team-oriented individual capable of building effective working relationships.
  • Technical Skills: Proficiency in MS Word, MS Excel, and MS Outlook is required.
  • Organisation: Strong organisational ability with a meticulous approach to task management and documentation.
  • Self-Motivated: Able to work independently, take initiative, and manage competing priorities effectively.
  • Problem-Solving: Capable of handling day-to-day issues efficiently while maintaining accuracy and composure under pressure.
