Our client, within the Commercial Real Estate Industry, is looking to employ a Front Desk & Admin Coordinator on a full-time basis to join their growing team. Reporting to the Business Centre Manager, the chosen candidate will be responsible to :

  • Welcome tenants and visitors with professionalism and warmth, ensuring a positive first impression.
  • Support the smooth running of daily operations through effective administrative tasks, including overseeing a team.
  • Organize periodic events for tenants and external clients, fostering a vibrant and engaging community.
  • Oversee bookings, prepare rooms, and coordinate catering arrangements.
  • Ensure private offices, coworking spaces, and training rooms are ready and meet high standards of presentation.
  • Source, communicate, and negotiate with suppliers to secure quality services and products.
  • Lead engaging tours for prospective clients, showcasing the benefits of our spaces and services.
  • Undertake additional administrative assignments as needed.

Working Hours: Monday to Friday 8:00 AM – 17:30 PM

Requirements
  • Strong multitasking abilities and exceptional organizational skills.
  • Excellent communication and the ability to build rapport with diverse groups, and lead a team of people.
  • A proactive, self-motivated attitude with the ability to work both independently and collaboratively.
  • A genuine dedication to delivering outstanding service.
  • Availability to adapt to occasional changes in working hours to meet business needs.
Education and Experience
  • Competence in Microsoft Office Suite and other relevant tools.
  • Previous experience in administration, event coordination, or a similar client-facing role.
  • Must be located here holding local experience in the same role.
  • Proven experience leading a team.
  • A professional level of English is a must with knowledge of Maltese being desirable.
