We are looking for a polished, proactive, and bilingual professional to support our Director across three key pillars: administration, client relationship management, and media operations.

Role Overview

As the Assistant to the Director, you will be the right hand to leadership—ensuring smooth daily operations, nurturing high-value client relationships, and coordinating media-related activities. Your ability to work fluently in Chinese and English will be essential, as the Director frequently engages with Chinese-speaking partners and English-speaking institutions both in Malta and internationally.

Key Responsibilities

1. Administration

  • Calendar & Travel: Manage the Director’s complex calendar, travel arrangements (including EU and Asia travel), and expense reporting.
  • Documentation: Prepare, review, and translate internal reports, presentations, and correspondence (Chinese ↔ English).
  • Meeting Coordination: Coordinate cross-departmental meetings, track action items, and ensure follow-through.
  • Office Support: Maintain confidential records and support general office workflows in Malta.

2. Client Relationships

  • Primary Liaison: Serve as the main point of contact between the Director and key clients, including Chinese-speaking and English-speaking partners.
  • Meeting Prep: Prepare client meeting materials, agendas, and post-meeting bilingual summaries.
  • Cultural Bridge: Monitor client satisfaction, bridge cultural and language gaps, and escalate issues as needed.
  • Partnership Support: Support the Director in building long-term partnerships across Maltese, European, and Asian markets.

3. Media Operations

  • Scheduling: Coordinate media interview schedules, press briefings, and public appearances (local and international).
  • Content Creation: Assist in drafting and translating press releases, media kits, and social media content (Chinese/English).
  • Media Monitoring: Monitor media coverage in both languages and prepare daily/weekly media digests.
  • PR Liaison: Liaise with PR agencies, videographers, and media partners in Malta and abroad.

Position Requirements:

📋 Must-Have Qualifications:

  • Bilingual Fluency: Fluent in both Chinese and English (written and spoken) with the ability to interpret and translate business/media content accurately.
  • Experience: 2–3+ years of experience as an Executive Assistant, Coordinator, or Chief of Staff.
  • Soft Skills: Excellent communication, exceptional organizational skills, and the ability to handle sensitive information with discretion.
  • Tech Savvy: Strong command of office tools (MS Office, Google Workspace, scheduling software).
  • Location: Already based in Malta or willing to relocate (work permit support is possible for the right candidate).
  • ✨ Nice-to-Have Qualifications:
  • Experience working in media, PR, or communications.
  • Familiarity with CRM tools (e.g., Salesforce, HubSpot).
  • Basic graphic design or video editing awareness (Canva, CapCut).
  • Understanding of the Maltese business and media landscape.
