Job Opportunity: Administrative Claims Assistant (Definite Contract) Position Overview

We are looking for a detail-oriented and reliable Administrative Claims Assistant to support our Claims team. The role focuses on administrative processing, document management, and supporting efficient claims handling operations while ensuring accuracy and compliance with internal procedures. 

 

Key Responsibilities

1. Document Management

.Handle, scan, and archive medical and non-medical post mails accurately and promptly.

.Ensure proper storage and organization of all documentation 

.Manage acknowledgment of postal mail (orange cards) 

.Process and clear email inboxes related to medical documents, claims, and complaints 

.Coordinate outgoing correspondence, including bulk mailing of letters 

.Maintain and organize records for the medical document handling and operations team 

 

2. Claims Administration

.Create claims and perform accurate data entry 

.Support the claims handling process to ensure smooth and efficient progression 

.Ensure timely processing of related emails and documentation 

.Assist in managing and following up on claims files 

.Support the Complaints Officer in updating and filing complaints 

.Ensure all received documentation is properly handled and stored 

 

3. Office Support Duties

.Assist with reception duties when required, including welcoming visitors 

.Manage incoming post and deliveries 

.Provide general administrative support to ensure smooth office operations 

 

Reporting & Relationships

Reports to: GAP / CPI Affinity Claims Team Leader 

 

Internal Contacts: BPF / ASSU / OPE teams 

 

External Contacts: Not applicable 

 

Requirements

.Fluency in English and French (Spanish, German, or Portuguese is a strong advantage) 

.Strong attention to detail and high level of accuracy 

.Ability to handle confidential and sensitive information 

.Good organizational and time management skills 

.Ability to work under pressure and meet tight deadlines 

.Strong team player with good communication skills 

.Proficiency in Microsoft Excel and general office tools 

.Flexible and adaptable to ad hoc tasks
