We are looking for a dedicated and detail-oriented individual to join our team as an Administration Officer II (Scale 10). The successful candidate will play a key role in ensuring the efficient operation of administrative functions within the organisation. 


Main Responsibilities:

  • Prepare payments and deposits (including all the necessary documentation) as instructed by the Executive Secretary
  • Compile the Schedule of Payments as instructed by the Executive Secretary
  • Provide administrative support including amongst others through, the inputting and recording of purchase orders, invoices and other record keeping as required
  • Assist the Executive Secretary in the compilation of data / documentation that are required to be submitted to the Department of Local Government or any other authority
  • Assist and perform accounting duties
  • Assist in the preparation and issuing calls for tenders and quotations
  • Assist in the preparation of funding applications and reports
  • Coordinate office activities and operations to ensure efficiency and compliance with Local Councils' policies
  • Manage correspondence, including emails, phone calls, and mail, ensuring timely responses
  • Support the Human Resources function as appropriate including data management, monitoring and reporting, amongst others
  • Maintain accurate records and documentation, including filing systems and databases
  • Delegate action to be taken iro Council decisions to other staff as required, follow-up and give feedback to the Executive Secretary
  • Order Office Supplies
  • Act as the Health & Safety Officer of the Office and keep the Health & Safety file up-to-date
  • Perform any other tasks as required by the Executive Secretary.


Eligibility Requirements:
a. Full qualification at MQF Level 6 in one of these subjects: Public Policy, Management, Business or Office Administration, Human Resources, Training and Development, Finance, Accounts, Economics, Public Administration, Business Studies, Social Policy, European Union and International Relations, Information Technology and ICT, Environmental Studies and studies relating to Agricultural Management / Energy Management, Statistics, Built Environment, Project Management, Quality Management, Communications, Sociology, Procurement, Secretarial Studies or other subjects in a field of related study; or

b. Administration Officer II in Salary Scale 11 who has completed the pre-established training organized by the Association / LGD to become eligible to apply for this grade; or

c. Serving Officers in the grade of Assistant Principal, with two (2) years experience. 

Additional Requirements:

  • Strong organisational skills with the ability to manage multiple tasks and prioritise effectively
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
  • Attention to detail and problem-solving skills
  • Ability to work independently and as part of a team
  • Knowledge of office management systems and procedures.
