Bufferboys Ltd is currently looking to recruit an Administration Executive to join their team on a full-time basis.

Overview:
We are looking for a proactive and detail-oriented Administration Executive to handle a variety of administrative and clerical tasks. The successful candidate will be responsible for setting up appointments, taking bookings, managing the work calendar, organising office activities, and coordinating between management and sales staff. Additionally, this role includes maintaining the leave/sick leave calendar, managing office supplies, handling correspondence, and supporting HR activities.

Key Responsibilities:

  • Set up appointments and manage bookings
  • Manage and organise the work calendar
  • Coordinate office activities and ensure smooth communication between management and sales staff
  • Maintain the leave and sick leave calendar
  • Assist with general administrative tasks as needed
  • Manage office supplies and inventory
  • Handle incoming and outgoing correspondence
  • Prepare and distribute meeting agendas, minutes, and other documentation
  • Support HR activities, including maintaining employee records and assisting with onboarding processes
  • Assist with travel arrangements and expense reports
  • Answer and direct phone calls, and provide support to visitors.


Requirements:

  • Excellent communication skills in Maltese and English
  • Previous experience in an administrative role is an asset
  • Proficiency in computer applications such as Microsoft Word is an asset
  • Strong organisational skills and attention to detail
  • Ability to multitask and prioritise tasks effectively
  • Professional demeanour and positive attitude.
