Due to recent growth, we are seeking a Condominium Accounts Assistant to join our team on a definite contract. 

Job Description

The selected candidate will support the Condominium Administrator in managing the financial and administrative operations of various residential blocks across Malta. The role is primarily focused on accounts administration, including payment processing, reconciliations, record-keeping, and financial follow-ups, while also assisting with general office administration to ensure smooth condominium management. 

Duties

• Monitor and chase outstanding payments daily by reviewing Excel sheets, account records, and bank statements for condominium blocks 

• Send payment reminders and follow up with owners via email and phone regarding overdue balances 

• Processing invoices and prepare payments related to condominium expenses 

• Carry out bank reconciliations and ensure financial records are kept accurate and up to date 

• Prepare cheques, cash deposits, and payment schedules for banking purposes 

• Assist in maintaining accurate bookkeeping records and supporting monthly financial reporting 

• Update and manage condominium databases, financial records, and filing systems efficiently 

• Manage the filing, scanning, and organisation of financial and administrative documentation 

• Assist with the preparation of statements and financial summaries for condominium blocks 

• Welcoming and greeting clients in a professional and friendly manner 

• Support the management of office supplies, ensuring stocks are maintained and replenished as needed 

• Contribute to the overall upkeep and smooth running of the office 

• Perform any other duties that may be required 

Work Schedule

• 40 hours a week spread over Monday to Friday 

Knowledge and Skills Required

• Previous experience in accounts, bookkeeping, or payment administration is highly desirable 

• Basic understanding of accounting principles and financial processes 

• Be detail-oriented,highly organised, and effective communication. 

• Be proactive and have a methodical work approach 

• Be a determined and responsible individual 

• Able to use Microsoft Office programmes, particularly Excel, Word, and Outlook 

• Experience using accounting software would be considered an asset 

• European passport or permission to work in Malta 

• Clean police conduct certificate (must be presented)
