The Procurement Manager is responsible for supporting the efficient operation of the Purchasing & Stores Department by coordinating purchasing activities, maintaining inventory accuracy, ensuring timely receipt and issue of materials, and assisting in supplier management. The role ensures company purchasing procedures are followed, inventory records remain accurate, and materials are available to support uninterrupted production.

Responsibilities:

Purchasing

  • Process purchase requisitions and prepare purchase orders in accordance with approved purchasing procedures. 
  • Obtain quotations from approved suppliers and assist with supplier evaluations. 
  • Follow up on purchase orders to ensure deliveries are received on time. 
  • Communicate with suppliers 
  • Assist in sourcing alternative suppliers and materials as requested by the Purchasing & Stores Manager. 
  • Support in shipping documentation where applicable. 

 

Stores and inventory 

  • Receive, inspect, and record incoming materials against purchase orders and delivery notes. 
  • Ensure Goods Receipt Notes (GRNs) are processed accurately and promptly. 
  • Issue materials to production and other departments following authorised procedures. 
  • Maintain accurate inventory records within the ERP system. 
  • Monitor stock levels and advise the Purchasing & Stores Manager of replenishment requirements. 
  • Assist with cycle counts, monthly stock takes, and annual inventory audits. 
  • Ensure materials are stored using FIFO/FEFO principles where applicable. 
  • Monitor shelf life and expiry dates of raw materials and packaging materials.

 

Quality, Food Safety & EHS

  • Comply with Company Food Safety, GMP, HACCP, Quality and EHS procedures. 
  • Maintain good housekeeping standards
  • Support environmental initiatives relating to waste reduction and sustainable purchasing. 

 

Administration and Reporting

  • Prepare routine purchasing and inventory reports. 
  • Maintain accurate purchasing, supplier and inventory records. 
  • Assist in monitoring departmental KPIs. 
  • Support internal and external audits. 

 

Qualifications and Skills:

  • Diploma or Bachelor's degree in procurement & Supply Chain
  • Professional procurement qualification would be of an advantage
  • Knowledgable in ERP/MRP systems
  • Using of Microsoft Excel
  • Report Preparation
  • Attention to detail

 

Experience:

  • 2–3 years' experience in Purchasing, Stores, Warehouse or Supply Chain. 
  • Experience within FMCG, Food Manufacturing or a manufacturing environment would be advantageous.
