Inspire in Malta is currently looking to recruit a Procurement Executive to join their team on a full-time basis.

General Scope and Purpose of Position:

The Procurement Executive shall take responsibility for improving the organization's sourcing operations by building strong supplier relationships, negotiating costs, and finalizing agreements. This role requires a proactive, curious individual who works independently to enhance sourcing efficiency and support organizational growth.

Duties & responsibilities:

  • Maintain existing supplier relationships and actively seek to develop new relationships to support the organization’s needs
  • Understand departmental needs through regular communication
  • Assist management in identifying cost saving and optimization opportunities
  • Oversee the smooth and correct use of Approval Max and Freshdesk systems
  • Check that all purchase orders submitted are fair and ethical
  • Identify and report any misuse or mishandling of internal resources
  • Maintain the organization’s fixed assets register and resources inventory
  • Draft relevant policies and procedures and ensure they are kept up to date as might be required from time to time
  • Maintain good communication with all suppliers throughout the negotiation process and provide feedback where required
  • Perform cost and scenario analysis together with benchmarking exercises when necessary
  • Ensure all documentation is obtained, signed and maintained for every supplier
  • Be the main contact person for all suppliers with which the organisation shall be working whilst ensuring the right stakeholders are kept up to date with any developments or changes
  • Maintain a tracking system for audit purposes of all quotes and communications undertaken leading to the supplier of choice
  • Prepare internal and external reports as may be required from time to time.

Core skills & qualities

The ideal candidate should be in possession of the following:

  • Relevant recognized qualification (minimum MQF level 3) in Procurement or in a related field
  • Excellent communication, organization and interpersonal skills
  • Previous experience in a similar role will be considered as an asset.

Prior to being recruited and throughout the duration of employment, the selected candidates need to satisfy the requirements of the Protection of Minors Act (POMA) together with those of immunization.
