Role Overview
This position focuses on facilitating daily freight and supply chain activities, guaranteeing the smooth transit, inventory management, and proper filing of merchandise. The successful candidate will collaborate closely with external vendors, shipping firms, and internal departments to guarantee precise and punctual distribution both domestically and abroad.

Key Responsibilities

  • Shipment Coordination: Manage incoming and outgoing freight via ocean and air freight channels, interfacing with vendor networks and distribution channels including domestic harbour infrastructure.
  • Documentation Management: Draft, update, and manage customs clearance and consignment paperwork while remaining strictly aligned with regulatory frameworks locally and across the EU.
  • Consignment Tracking: Monitor the progress of cargo in transit and take immediate initiative to rectify transport challenges or disruptions.
  • Compliance and Reporting: Keep precise logs and data repositories to meet statutory requirements dictated by regional agencies, while strictly adhering to internal protocols.
  • Interdepartmental Collaboration & Warehousing: Interact with internal colleagues to fulfill supply chain demands while assisting with inventory oversight and storehouse duties when necessary.

Qualifications, Skills, and Attributes

  • Education: A standard educational background, preferably supplemented by specialised cargo handling credentials such as IATA or Dangerous Goods Regulations (DGR) qualifications.
  • Experience: Prior background handling administration within a supply chain, freight forwarding, or distribution environment, ideally with familiarity regarding regional port protocols and customs mechanisms. Immediate availability is advantageous.
  • Language Skills: Excellent command of both Maltese and English is required to succeed in this role. 
  • Communication Skills: Expresses ideas effectively and manages professional dialogue confidently when dealing with vendor networks and business units.
  • Interpersonal Skills: Works harmoniously with colleagues in a collective setting while building strong working connections with external service operators.
  • Technical Skills: Proficient with standard office software applications; familiarity with Enterprise Resource Planning software or specialised distribution platforms is considered an asset. Possesses a valid manual driving license for occasional onsite or customer visits.
  • Organisation: Exceptional capacity to categorise duties, track multiple shipments simultaneously, and preserve meticulous precision under pressure.
  • Self-Motivated: Demonstrates a proactive nature, capable of managing daily workflows autonomously without requiring constant supervision.
  • Problem-Solving: Possesses a constructive outlook geared towards resolving transport complications and handling unexpected transit changes swiftly.
