Our client is looking for a Distribution and Logistics Coordinator

The roles and responsibilities will include: 

  • Process and manage customer orders accurately within the ERP system or through manual entry where required.
  • Oversee stock levels across all warehouse locations, ensuring inventory accuracy and conducting scheduled stock audits (travel to warehouse sites may be required).
  • Raise and manage purchase orders with manufacturers and suppliers to ensure timely replenishment of goods and materials.
  • Lead commercial discussions with suppliers to secure competitive pricing and favourable terms for raw materials and products.
  • Track and manage procurement activities from order placement through to delivery, including monitoring goods in transit.
  • Coordinate domestic and international shipments from manufacturers to customers or warehouse facilities.
  • Prepare, review and manage all shipping and customs documentation, ensuring full compliance with regulatory requirements and selection of appropriate transport solutions.
  • Generate and issue customer invoices in a timely and accurate manner.
  • Ensure supplier and manufacturer invoices are reviewed and processed for payment in accordance with agreed payment terms.
  • Collaborate closely with the Supply Chain Manager to support operational efficiency and continuous improvement initiatives.
  • Liaise with external consultants and service providers on procurement and logistics matters.
  • Provide general administrative and operational support as required.

Working Hours

Monday to Thursday - 8.00 - 17.00

Friday - Half Days 

Requirements

  • Experience handling shipping documentation and customs procedures, ideally within an international environment.
  • Fluency in both written and spoken English and Maltese
  • Demonstrate adequate communication skills and be a team player
  • Have sound knowledge of Microsoft Office applications
  • Experience in an ERP system is an advantage
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

Education and Experience

  • Previous experience in logistics, supply chain, distribution or procurement coordination.
